How Much Time are You Spending on Administrative Activities?
In general, PT clinic owners should reduce their administrative work by delegating. But for those tasks you can’t pass off—focus on knocking them all out in one day.
Most of us try to fit in administrative tasks between patient appointments: early in the morning, late at night, and even on the weekends. This is a poor use of your time and a genuine energy-zapper. Instead of squeezing in tasks wherever and whenever, group administrative stuff into select days of the week. For instance, devote Tuesdays to bookkeeping, returning emails, meeting with staff, conducting in-services, and completing paperwork. Oh, and let everyone know that they are not to interrupt while you’re busy completing those administrative activities.
Knocking out all or most of the administrative stuff on select workdays will allow you more time—on other days—to focus on patient care and revenue-generating tasks. Ultimately, chunking your administrative work together will allow you to get in the zone—and that means completing tasks more quickly and with fewer errors.

- Devote entire days to money-making activities—no administrative interruptions allowed!
- Reserve certain days during the workweek for administrative work, and focus on nothing else until your complete all admin tasks.
Remember, we aren’t meant to multitask. Devote certain to-dos to certain days, get in a rhythm, and watch the quality of your work improve—along with your sanity.
